The role
The Admissions Associate post is a permanent role, reporting to the Senior Admissions Officer, Admissions Associates function within a matrix structure, having both a line manager and an operational lead. The primary responsibility of this role is to deliver an accurate and efficient admissions service by adhering to standard operating procedures. This involves making decisions on standard undergraduate and postgraduate applications, leveraging a comprehensive understanding of UK and international qualifications and defined entry criteria. A key aspect of the role is to ensure a high-quality applicant experience through the timely processing of applications, aligning with service level agreements and targets.
Oxford Brookes receives tens of thousands of applications for taught degrees during each admissions cycle, originating from the UK and over 180 countries, all of which are managed by the Admissions team. The team collaborates closely with colleagues in faculties, agents, and both UK and international partners to ensure fair and equitable assessment for all undergraduate and postgraduate taught course applicants. Furthermore, the team plays a crucial role in maintaining the University’s compliance with regulatory and professional accreditation requirements.
About the team
The Admissions Associate is part of the Admissions Office, which sits within the Marketing, Recruitment and Engagement Directorate. This Directorate is confident and ambitious, committed to unifying all marketing, communications, recruitment, and engagement activities to significantly enhance the experience of staff, prospective students, current students, and alumni. The team applies professional skills and expertise to ensure every interaction is meaningful and contributes positively to the University’s objectives.
What will I be doing?
● Reviewing and assessing applications for undergraduate and postgraduate courses, making decisions in line with University policies and approved entry criteria, including contextual admissions.
● Using the Admissions System (CRM Recruit) to input decisions and ensure the accuracy of all records.
● Delivering excellent customer service by responding to applicant queries and assisting with recruitment events, such as Open and Applicant Days.
● Contributing to the processing of results during the Confirmation and Clearing period, providing support via telephone or online helpdesk.
● Developing and maintaining a deep understanding of UK and international qualifications to support effective decision-making.
● Assessing fee status (home or international) of individual applicants, after appropriate training, and ensuring compliance with student route visa requirements.
● Engaging in ongoing training and professional development to ensure knowledge of relevant policies, procedures, and good practice is maintained.
What skills do I need?
● Level 3 qualifications (A levels or equivalent), with an excellent standard of written and spoken English.
● Experience in delivering high-quality customer service, particularly during periods of high pressure and significant workload.
● Strong attention to detail and the ability to work efficiently and accurately within a database and/or CRM system.
● A commitment to providing a fair and transparent admissions process.
About the location
This role is primarily based at our Headington campus, where you will experience a vibrant campus atmosphere and benefit from a modern office environment. The campus is conveniently located one mile from the centre of Oxford and is well-served by regular public transport. This is a hybrid role, with an expectation of being on campus for 1-2 days per week. Occasional weekend working may be required to support peak times or recruitment events, with time off in lieu (TOIL) provided in accordance with University policy.
