What you'll do:
As an Executive Assistant in this high-profile financial services environment based in Canary Wharf, you will play a pivotal role in ensuring that senior leaders are able to focus on strategic priorities by expertly managing their schedules and daily operational needs. Your day-to-day responsibilities will see you acting as a trusted point of contact for both internal teams and external partners. You will be relied upon for your meticulous attention to detail when arranging travel plans or processing expenses through advanced systems. Your ability to anticipate needs-whether it's preparing meeting rooms with all necessary technology or stepping in seamlessly during colleagues' absences-will be key to your success. In addition to core administrative duties such as document preparation and supply management, you will also handle sensitive information with utmost discretion. Your proactive approach will enable you to take on special projects that contribute directly to the efficiency of the Global Sales and Marketing division. - Coordinate complex calendars for senior executives, managing appointments, meetings, room bookings, technology requirements, and catering arrangements while communicating effectively with both internal and external stakeholders.
- Arrange comprehensive domestic and international travel itineraries, including detailed agendas, visa management, logistics coordination, and addressing any travel-related requirements as they arise.
- Prepare, submit, and monitor expense reports and vendor payments using systems such as Concur, Tymetrix, and Smaart to ensure timely processing for investment team members.
- Provide reliable telephone coverage by responding to inquiries promptly, routing calls appropriately, and taking accurate messages to maintain seamless communication within the team.
- Oversee various administrative activities such as handling technology requests, preparing documents and copies, managing office supplies, coordinating equipment needs, distributing incoming mail, and ensuring the workspace remains fully functional.
- Offer back-up support for administrative colleagues during planned or unplanned absences to guarantee continuity of service across the team.
- Exercise discretion when handling sensitive information related to the firm's operations, team matters, or confidential staff issues.
- Assist with executing legal documents requiring signatures from multiple team members while maintaining accuracy and compliance with internal procedures.
- Undertake special projects or ad hoc requests as required by executives or the wider team to support ongoing business objectives.
What you bring:

- Outstanding organisational skills with proven ability to prioritise tasks effectively, maintain accuracy under pressure, follow up diligently on outstanding items, and respond swiftly when urgent matters arise.

- Experience supporting executives at senior levels is essential for this position due to the complexity of diary management and confidential nature of assignments.
- Proficiency in Microsoft Outlook, Word, Excel, PowerPoint; familiarity with Corporate Services Travel Online (CSTO), Concur or similar systems is advantageous but not mandatory if you demonstrate quick learning capabilities.
- Ability to manage multiple priorities simultaneously while exercising sound judgement about when guidance should be sought from others or direction taken from supervisors.
- A highly service-oriented attitude that places emphasis on delivering quality outcomes for both internal clients and external partners.
