Job title: Sales / Supply Service Representative (SSR) Location: Office-based with hybrid working options (1 days remote possible) Hours: 37.5 hours per week, Monday–Friday Salary: £25,000 to £29,000
Role summary The SSR is the primary point of contact for customers and suppliers, responsible for accurate order processing, resolving enquiries, and helping ensure smooth sales and purchasing operations. The role supports either the sales side, the purchasing side, or both, depending on business needs.
Key responsibilities — Sales-side Act as first point of contact for customer order placement by phone and email. Enter and maintain customer orders accurately in the company systems (ERP). Handle order-related queries (pricing, delivery, amendments) and progress chasing. Build and maintain professional relationships with customers and internal colleagues. Deal with customer complaints (damaged or delayed deliveries), escalating where necessary and ensuring satisfactory resolution. Keep internal systems and colleagues updated on order status. Provide general administrative support to the sales team and carry out ad hoc tasks as required. Key responsibilities — Purchasing-side Place supplier purchase orders accurately in the company systems (ERP) according to stock levels, demand and supplier lead-times. Monitor and maintain stock levels in line with internal stock policies. Liaise with suppliers, warehouses and hauliers to resolve purchase-order related queries (delivery, damage, delays). Manage supplier queries (price, lead-times) and record issues to support continuous improvement. Keep internal systems and colleagues updated on purchase order status. Provide general administrative support to the purchasing/procurement team and carry out ad hoc tasks as required. Skills & attributes Excellent verbal and written communication skills (phone and email). Able to multi-task, remain resilient and work under pressure to meet deadlines. Solutions-focused with strong problem-solving skills and an ability to use initiative. A positive, can-do attitude and willingness to support the wider team. Strong numeracy — comfortable working with quotes, order values, spreadsheets and spotting discrepancies. Good IT skills — confident with Word and Excel; training will be provided on ERP/CRM systems. Administrative experience beneficial but not essential. Minimum: GCSE (or equivalent) in Maths and English (or demonstrable equivalent ability).
